V-Manager Update 6-07-01

Waving the Right Flags - Flag Management Part II

Last week we declared spring cleaning on V-Manager flags! It's easy to let your donor flags become clogged with old, unknown, or temporary flags. This week, let's look at how an organization might use the Update Flags feature to refine their annual dinner flag.

Our fictional organization has created a flag called "Dinner" to that serves as the invitation list. Here's how they'll ensure that their invitations are targeted to those most likely to support them:

First, the dinner committee will review a names report of dinner invitees, checking for erroneous names, blank addresses, or other obviously incorrect data. The committee has decided to update the invitation list by including all donors who have made contributions of $15 or more during the past year, who have made pledges, or who are flagged for any of the organization's special interest groups. However, they wish to drop anyone who has made no contributions in the last three years.

They will use the following Update Flags sequences:
  • Transactions|Update Flags| Reset this flag "Dinner" to be "Y" | for donors who have contributed more than "15" and the contribution dates are within the last year
  • Transactions|Update Flags| Reset this flag "Dinner" to be "Y" | for donors where flag "Lectures" = Y"
  • Transactions|Update Flags| Reset this flag "Dinner" to be "N" | for donors who have not contributed | Date Range of Contributions = "01/01/1997 - 06/30/2001"

Each of these updates must be run separately while no other users are logged into V-Manager. Updating a flag does not remove donors previously flagged - unless you specifically change the flag to "No." For example, the first two sequences used to update the flag did not delete any Dinner flags - it only added donors who had previously been unflagged. Now the invitations can be ordered in the correct quantity, envelopes printed, and the committee can relax until the responses start!
